TIMELINE OF EVENTS

Friday, September 6

3:45pm	Wedding party & family begin to arrive at Ravenswood Event Center
4:00pm	Rehearsal at Ravenswood Event Center
5:00pm	Rehearsal walkthrough concludes Everyone meets at Kailey and Zach’s house to hang out before the rehearsal dinner
6:30pm	Rehearsal dinner at Burning Bush Brewery – The River Room

Saturday, September 7

7:00am	Hair stylists & Makeup artists arrives for setup Breakfast items are set out (bagels, fruit, etc.)
7:15pm	All ladies getting hair & makeup done arrive at 3717 N Ravenswood Ave Kailey lays out all accessories and invitation suite on a counter for photographer
7:30am	Hair + makeup services begin **see full schedule at the bottom of this page**
8:30	Tad delivers Gotham Bagels to Kailey & the girls (opens at 8am)
11:00am	Groomsmen arrive at K&Z’s house to relax and hang out with Zach Lunch will be provided for the guys
11:15am	Photographer Lead (Kerri) arrives at Peerspace
12:00pm	Videographer Lead (Aaron) arrives at Peerspace
12:10pm	Kailey reads her letter from Zach (in her getting ready outfit), with photo & video teams present
12:15pm	ALL hair and makeup completed **Cindy & Angela plan on going last for touch ups, so that the bridesmaids can be ready for PJ photos Zach & the groomsmen to be dressed in their wedding day attire
12:20pm	Kailey & bridesmaids take a photo in their getting ready outfits
12:30pm	All touch ups complete → All ladies get into their dresses Second shooters arrive to Kailey & Zach’s house to capture the guys ‘getting ready’
12:50pm	Zach reads his letter from Kailey, with photo & video teams present Bridesmaids begin gathering their personal items, while Kailey does bridal portraits
1:00pm	Kailey’s first look with bridesmaids Wedding party shuttle arrives at Peerspace & is staged out front for pickup
1:10pm	Kailey & the ladies board the shuttle *Don’t forget to bring the bouquet vases
1:15pm	Kailey & the ladies depart Peerspace and head to K&Z’s house for the first look
1:30pm	– Kailey & the bridesmaids arrive at K&Z’s house – Groomsmen begin boarding the shuttle —> Zach Hinton and Johnny S. are in charge of making sure the cooler is loaded onto the shuttle! – Wedding party to hang out on the shuttle while they do the first look – OE to put boutonnieres on the guys
1:40pm	First look at K&Z’s house → Reading private vows during their first look  *Have vow books on hand!
1:55pm	Kailey & Zach board the shuttle
2:05pm	Kailey, Zach & wedding party depart their house & head to Winnemac Park (Defer to photographer’s decision for final location!)
2:20pm	Wedding party pictures begin at Winnemac Park
2:50pm	Wedding party departs Winnemac Park and heads to Kerri’s studio
3:05pm	Kailey & Zach portraits at Kerri’s studio Wedding party to stay on the shuttle & hangout OR the shuttle could drop them off at REC (decide on day-of)
3:30pm	Kailey & Zach walk from Kerri’s studio to REC  Kailey’s dad, Mike, arrives at REC
3:40pm	Mike is staged in the Atrium, and gets in position for his first look with Kailey
3:45pm	Kailey, Zach, wedding party & family (including flower girl) begin to arrive at REC
3:50pm	Kailey’s first look with her dad
4:00pm	Family pictures begin in the Atrium (3rd floor) Shuttle arrives at The Westin River North, guests board
4:10pm	Shuttle departs The Westin River North and heads to REC
4:25pm	All family photos are completed Wedding party gets tucked away on the second floor
4:30pm	Guests begin arriving  *Any early arrivals are held on the first floor until the room is fully set / family photos are complete Ushers (Kailey’s Cousins: Jack and Charlie) pass programs & welcome guests Zach’s friends (Brekke and Johnny T.) help make sure guests sit in the first few rows —> Rows 1 & 2 are reserved for family
4:55pm	Grandpa Ray and Grandpa Nick to be seated in the first row, prior to the processional
5:00pm	Ceremony begins in the Atrium (3rd floor)
5:29pm	They’re finally married!!! Officiant (Pat) signs the marriage license
5:30pm	Cocktail hour begins on the second floor loft
5:35pm	Immediately following the end of the ceremony, family pictures begin at the ceremony front
6:30pm	Cocktail hour ends and guests are invited to The Showroom (1st floor) Family & wedding party can find their seats
6:50pm	Kailey & Zach are introduced into the room
7:00pm	Blessing by Grandpa Schmid
7:10pm	Once people have a few minutes to eat their salads, Welcome Toast by Mother of the Bride, Cindy & Father of the Bride, Mike – Tad & Virginia will join up front, and stand on either side of them –
7:15pm	Dinner service continues
7:55pm	After all entrées are served, speeches begin:  1. Claudia & Meghan (MOHs) *Combined speech 2. Zach & Johnny (BMs) *Combined speech
8:15pm	Kailey and Zach say their “thank you” & invite people onto the dance floor Full band begins // Dance floor is officially open
11:30pm	Band plays last song – DJ continues for ‘After Party’ for the last 30 minutes!!
12:00am	Party’s Over!! All items are stored in the suite at REC for pickup on Monday
12:15am	Everyone walks over to The Rambler to continue the party (4128 N Lincoln Ave.)

HAIR & MAKEUP SCHEDULE

BEAUTY POINTERS

• Hair is best styled with clean (washed day/night before; shampoo 2x and apply condition to your ends only), product-free or limited product in hair.
• IF applying serum/oils, avoid applying to the scalp area
• For anyone with extremely wavy or curly hair and is wanting a smooth style, please arrive with blow dried or straightened hair.   
• Hair should be completely dry (BLOW DRY, not air dry, and avoid sleeping with damp hair), unless you plan on a blowout. Anyone with damp hair runs risk of being behind.
• Part your hair where you think you’d most likely want to style it for the wedding day
• Leave hair down to avoid creases or flatness from a hair band
• Do not apply SPF moisturizers to your skin. You may still moisturize with a non SPF product. SPF causes makeup to fall off quicker.
• Brush your teeth and put in your contacts prior to beginning your beauty.
• It is helpful if each bridal party member has an inspirational image prepared to guide them.
• Lipstick will not last all day & night. Pack a touch up lipstick or gloss for reapplication.
• Pluck / maintain eyebrows before the wedding day

Kailey’s Crew

1. Getting ready outfits: Please arrive in the getting ready outfit that Kailey has provided you with on Friday night.
2. Wedding day outfit: including appropriate bras/Spanx/undergarments. Plan on steaming your dresses prior to Saturday! Kailey will have a steamer at her house on Friday night if you want to take care of it then. On Saturday, we will have a steamer available for quick touch ups.
3. Accessories: Please wear gold jewelry should you decide to wear anything
4. Shoes: Nude heels
5. Clutch/purse/ bag with personal items/IDs, phone, lipstick, tissues, etc.
6. Wedding card: if applicable
7. Meghan R & Claudia: Don’t forget your speech (ideally not read off of your phone). If you’d like a printed copy provided, feel free to email Emily@ohanaevents.com

Delegated Roles:
– Sam & Lauren: You’re in charge of making sure all the ladies dresses are steamed prior to the photographer arriving on wedding day, if any touch ups are needed
– Claudia: You’re assigned to “DJ” while getting ready. Also, keep your phone handy for any calls/ texts as needed 🙂
– Meghan R & Erika: Your job is to capture all the behind the scenes moments throughout the day
– Sienna & Meghan J: Make sure everyone’s mimosa is full & they’re drinking water throughout the day

Zach’s Crew

1. Wedding Day Outfit: Specifically –shoes, black socks, pants, suspenders, button down, cufflinks, button studs, bowtie, suspenders, jacket
2. Cell phones, IDs, wallets and anything else you may keep in your pocket
3. Wedding card: if applicable
4. Johnny & Zach: Don’t forget your speech (ideally not read off of your phone). If you’d like a printed copy provided, feel free to email Emily@ohanaevents.com

Delegated Roles:
– Tom: You’re the timekeeper! Please make sure everyone is on track until the photographer arrives, then they will take over
– Matt: Please keep in communication with dad throughout the morning/day to make sure he’s getting there on time and take any calls if he has questions
– Johnny S and Zach H: you’re in charge of making sure the cooler is brought onto the shuttle when we leave for photos
